Who I am

Wild Rose Calligraphy is a small calligraphy business run by Rachel Beers, a sole trader based in Somerset, UK.

I am responsible for the personal information you share through this website.

You can contact me at hello@wildrosecalligraphy.co.uk.

What I collect

When you send an enquiry through this website, I collect:

  • your name and email address
  • the type of enquiry
  • your wedding or event date, if you choose to give it
  • your message, and anything else you choose to tell me in it

Please don't include sensitive information, such as health details, in your message.

How I use it

I use your information only to reply to your enquiry, discuss your plans and prepare a quote. If you go ahead with a booking, I use it to provide your order and keep the records I need to run my business. I never sell your information or use it for marketing without asking you first.

My lawful basis

  • Steps before a contract: replying to you when you ask about my work or request a quote.
  • Contract: providing the work you have booked.
  • Legal obligation: keeping financial records required by law.
  • Legitimate interests: answering general questions and keeping my enquiries organised and secure.

Who handles your information

I use a small number of trusted services to run this website and my inbox:

  • Lovable hosts this website, securely stores enquiries in a database located in Ireland (EU), and sends me an email notification when you submit the form.
  • GoDaddy provides my business email inbox, where enquiry notifications and our email conversations are kept.

Some of these providers, or their own suppliers, may process information outside the UK, including in the EU and the United States. You can contact me at hello@wildrosecalligraphy.co.uk if you would like further information about how these services handle your information.

If you buy from my Etsy shop, Etsy processes your order under its own privacy policy. This website links to Etsy but does not share your information with it.

How long I keep it

If your enquiry does not become a booking, I keep it for 12 months and then delete the database entry and associated email correspondence. This period applies to both the enquiry stored through this website and the related emails in my business inbox.

If you book with me, I keep customer and order records only for as long as needed to fulfil your order, meet applicable accounting and tax requirements, or deal with any claims. The period depends on the type of record and the requirements that apply to my business; not every record needs to be kept for six years.

Cookies

This website does not use analytics, advertising or tracking cookies, and it does not store anything on your device for those purposes. The fonts and photographs are served from this website and its hosting provider. The website's hosting may use strictly necessary technical measures to keep the site secure and working.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the information I hold about you
  • ask me to correct or delete it
  • object to, or ask me to limit, how I use it
  • ask for your information to be transferred to you or another organisation, where this applies

To make a request, email me at hello@wildrosecalligraphy.co.uk. I will respond within one month.

Complaints

If you have any concerns, please contact me first and I will do my best to help. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
